Terminating an Employee in ERS
When terminating an employee for any reason, a key step as a supervisor is to terminate their access to University resources. This can be initiated using the Employee Resource system. Log into the Employee Resource system and select the Employee in question.Â
On the Employee Resource Profile, select Terminate Employee.Â
A mini-window will pop up in the center of the screen, requesting two pieces of information:
- The Collection Due Date is the date at which HR needs to collect all the resources allocated to this employee. This is usually their last day of employment with the University.Â
- The Notes field is a space for you to provide context on the termination of resources. This is a required field, but can be simply filled with the reason for the employee's termination (Ex. Retirement, etc.)Â
Click Submit to submit the termination request. You will be returned to the Employee Resource Profile, but with a few changes: the list of resources allocated to them is no longer present, and the only button remaining is the Cancel Termination button, which you can use if you need to undo your termination request before it has been completed. Note: If you undo your termination request, all the resources that had previously been allocated to the employee will return, but any pending requests will have to be re-made.Â
Clicking Cancel Termination will bring up a similar mini-window. However, in this one the only field is a confirmation field. Follow the instructions and click Submit to complete the cancellation of your termination request.Â
