Dialing Calls
All you need to do is pick up the phone and dial. If you dial the number before picking up the phone, you’ll be on speakerphone. There is a brief pause before you connect. If you don’t want to wait, you can press the |Dial| softkey to speed up the process.
The following dialing conventions apply:
On Campus: Dial the 5-digit extension starting with 4 (e.g. 4-7079)
Local Numbers: Dial 9, then the 10-digit phone number (e.g. 9-757-555-1234)
Long Distance: Dial 9, 1, then the 10-digit phone number (e.g. 9-1-800-555-1234)

Unless you pick up the handset, dialing a number, pressing the |Answer| softkey while receiving a call, or pressing the button corresponding to a line all activate the speakerphone.
To hang up the speakerphone, press the speakerphone button

As you start to dial, the following screen will appear:

If the person accepts the call, press |Yes| to complete the transfer
If the person does not accept the call, press |Cancel| to return to the original caller

To transfer directly to a voicemail box: Press |More|, then |To VM|.
Placing a call on Hold
To place a call on hold, press the Hold key.
It will show one one of your call appearance buttons with a pause symbol and an orange flashing light. Press that button to retrieve the call.
Speed Dial
The buttons on the sides of the phone can either serve as a speed dial or to control putting calls on hold and taking them off. Because of this you SHOULD NOT program the top two buttons on the right side. If you do, you will be unable to easily take people off hold. If you often have multiple people on hold, you may want to leave more buttons open.
To program a speed dial button:
Press |Options|
Enter your voicemail password and press |OK|
Use the arrow keys to scroll to Program Buttons and press |Edit|
Press the button that you’d like to program.
DO NOT program the top-right two buttons, or you’ll be unable to easily take people off hold.
You’ll be given a choice between Call Appearance and Dial Number:
Call appearance is the “line” icons that allow you to put people on hold or take another call
Dial number is the “speed dial” setting
Use the arrow keys to select Dial Number, then press |Select|
You’ll next be asked for the number that you’d like to set for the speed dial. Enter the number, and press |Next|
You’re then asked to enter the name:
Press the number keys to select the appropriate letter
Press the number multiple times to select a different letter
Press [#] for space
Press [*] for punctuation
When you’ve entered the name, press |Done|
You can then set up additional speed dials, or press |Exit| to end.
Using Speed Dial
To call the person that you’ve set up, press the button next to their name
If the person is in a status in which their phone is forwarded, you’ll see a line through their arrow and the button will light up orange.
If the person is on another call, you’ll see a phone icon next to their name and the button will light up red.
Conference Calling
Setting Up a Conference Call
To set up a conference call, dial the first number, wait for an answer, then press [Conference].
The following screen will pop up. Dial the second number and press the appropriate key:
To speak to the person before putting them into conference (recommended): Press |Consult|. You can then ask the other person whether they’d like to join the conference:
To complete the conference call connection, press |Yes|
To not complete the connection and return to the first call, press |Cancel|
To immediately call the third person and place them into the conference: Press |Confer|. This is not recommended, as the person you are calling will not know that they’re joining a conference call.
Controlling Conference Calls
While you’re in a conference call, any CNU participants can add additional people by following the directions above.
To see who else is on the call, press |Show|
To drop someone from the call, press |Show| to see the list of people on the call, then select their name with the arrow keys. Press |Drop| to remove them from the call. This can be done by any CNU phone on the call.
The conference call will remain active as long as at least one person on the CNU phone system is on the call.
Telephone Lights and Indicators
You may see your phone show orange lights on all of the line buttons. While this is happening, all of your calls will be forwarded to your voicemail.
What this means is that you’ve placed your phone in a state which forwards all calls to voicemail. (For more information on states, see our Phone States section).
To get rid of the orange lights and return your phone to normal operation, press |State|.
Then, use the arrow keys to choose Available and press |OK|.
Phone Availability States
What are States?
States indicate the status of your phone, and will display to people who look you up in the directory or on the Mitel Connect Client. These states also control two things: call behavior and your voicemail greeting. There are six states that your phone can be in:
Available
In a Meeting
Out of Office
Vacation
Do Not Disturb
Custom
There are separate voicemail greetings and call forwarding instructions for each state. By default, the Available state causes your phone to ring three times before forwarding to your voicemail. All other states immediately forward to your voicemail without ringing your phone.
Changing your Phone’s State
To change the state your phone is in, press the button underneath |State| on your phone.
You’ll be brought to a menu of states. Highlight a state with the arrow keys (you can scroll down below the four that appear on the screen) and press either OK or the button in the middle of the arrow keys to select it.
Your phone will then follow the forwarding settings of the state you’ve selected. Don’t be alarmed if the buttons next to the screen light up orange; this just means that you’ve set a state that forwards all calls to your voicemail.
Customizing Forwarding in States
If all you want to do is forward calls to your voicemail, the default setup of the states is all you need. However, you may want to forward your calls to a specific number when you’re in a particular state. This is possible as well.
To do so, choose |Options| at the main menu.
You’ll be asked for your voicemail password. Enter it and press |OK|
Select Availability and press |Edit|
Choose the state that you’d like to change the forwarding settings for (remember, these settings are unique to each state, and press |Edit| (do not use the button in the middle of the arrow keys; that will simply set your availability state).
You’ll be brought to a menu with several options for setting up your forwarding.
The first option, Forward Calls, allows you to choose whether and when your calls are forwarded when your phone’s in that state. There are three options:
Always: your phone will automatically forward your calls to your voicemail or another number; it won’t ring.
No Answer: your phone will ring a set number of times, then forward the call to your voicemail or another number.
Never: the call won’t be forwarded to a number or your voicemail; it will continue to ring until you answer or the other party hangs up.
Select the one you want, and click OK
If you’ve chosen Always, the next line down is Always Dest.. If you chose No Answer, it’s No Answer Dest.. Enter the number in the box exactly as you’d dial it on the phone. For example, an on-campus number would begin with a 4 (47079), an off-campus number with a 9 (95947079). To forward to your voicemail, enter 86101.
If you chose No Answer, you can also enter the number of times your phone will ring(from 1 to 20) before the call is forwarded. Additionally, you can set a separate “Busy Dest.,” but keep in mind that will only be called if more than 8 calls are active on your line at any given time.
Once you’re happy with your settings, press |Back|, then either |OK| or |Cancel| and |Exit| to get back to the main screen. Once you’ve done so, you only have to change your phone’s state to activate forwarding.
Voicemail
There are several ways to check your Mitel voicemail. First, you’ll receive an e-mail with a copy of the voicemail as long as your phone is linked to your e-mail account. You can also access it either through visual voicemail directly on your phone, or by calling into the voicemail system. For quick reference, you can also download and print our Voicemail Quick Reference Card from Mitel:
Logging in to your Voicemail
There are several ways that you can check your voicemail, but your voicemail can only be set from the direct call-in or via the ShoreTel client on your computer. This article will only deal with the call-in.

The first time that you log in, you’ll be prompted to change your password. Please change this to something other than your extension or 1234, as this password allows anyone with it to access your voicemail and your phone’s settings.
You’ll next be asked to record your name. This recording is used for the default greetings. Finally, you’ll be asked whether or not you want to set a greeting.
Changing your Greeting
It’s important to remember that your greeting is determined by the state that your phone is set in. States also change call forwarding behavior. If you want more information on this behavior, see our article on states.
To change your greeting for a particular state, you’ll first need to set your phone into the state for which you want to set the greeting.
Changing States
Your phone’s voicemail behaviors may change depending on the State your phone is currently in; for example, some states send callers directly to voicemail without ringing, while others automatically forward callers to other numbers and never reach voicemail.
