Google Meet Updates
Christopher Newport University has adopted Google Workspace for Education Plus. This provides several tools within Google Meet, which will be covered here:
Recording Meetings
To record a meeting, choose Record meeting from the main menu.
Then, click Start Recording on the right.
You'll see a popup reminding you to let people know they're being recorded. Click Start to start the recording.
When a meeting is being recorded, all participants will see a recording indicator in the top left corner of the screen. Chat and any screen sharing will be recorded as well.
To stop the recording, click Stop Recording in the main menu.
Then, click Stop recording on the right.
A box will pop up to remind you that the recording will be stored in your Google Drive. Click Stop Recording in the box.
The recording and chat transcript will be saved to your Google Drive under "Meet Recordings."Â This may take some time, and you'll receive an e-mail notification when it's complete.
Polling
If you want people to "vote" on something, you can use the Polling feature. You will not only see the results in real time, but you'll be e-mailed the results after your session is over.
To use it, click the Activities button at the bottom right.
Select Polls from the pop-out menu.
Click "Start a poll".
Enter your question in the "Ask a question" box, and the potential options in the Option 1 and Option 2 boxes. If you need more options, click "Add an option". Â
When you're ready to start the poll, click Launch.
Participants are notified and should click on the activities button to launch the poll.
They will then click Polls.
They will then be able to answer the question.
While the poll is running, you can choose to show everyone the results, or end the poll for everyone.
After your session is over, you'll be e-mailed a Google Sheet with the results of the poll.
Q&A
You can allow participants in your meeting to post question for you to review and answer. This may replace chat if you don't want to use that.
To start Q&A, click the Activities menu.
Then, click Q&A.
Your participants will then see a message that Q&A has started. They'll click the Activities menu, then Q&A to join the Q&A.
To ask a question, click Ask a Question.
Then, type the question , then click Post.
Once the question is posted, all participants can indicate that they have the question too by clicking on the thumbs up icon.
You (but not your participants) can hide the question with the eye icon, mark the question answered with the check mark, or delete the question with the trash can icon.
Breakout Rooms
Breakout rooms allow you to split up your meting for smaller group discussion. Users will still be able to rejoin the main meeting, and can request assistance from the host.
To start breakout rooms, click the Activities menu.
Choose Breakout Rooms from the list.
At the top, you're able to set up the breakout rooms. Control the number of rooms with the number field at the top.
You can automatically assign people to rooms with the "Shuffle" command, to set up your groups randomly. You can set a limit for the groups with the Timer button. Your participants will all see how much time is remaining in the breakout room.
You can reorganize the groups by dragging them between group headings.Â
When you're ready to start your breakout groups, click "Open rooms."
 Unlike in Collaborate, the users assigned to breakout groups will be asked to join them.
The users will then be assigned to breakout rooms. Your users can ask for help or return to the main room using the banner at the top of the screen.
If someone in a breakout room asks for help you'll be notified and can click to join the room.
There is also a timer if you've set it.
When your users' time is approaching the end, they'll be notified. When the time ends, they'll be placed back in the main room and will be muted.
Attendance
The host of each meeting will be e-mailed an attendance report for the meeting in CSV format.
